Real results
Two businesses, two different processes and the same result: more time.
Here’s what the work looked like before, what I built and what changed after. No embellishment, just the numbers that were measured.
To protect client confidentiality, I don’t publish client names.
From putting out fires to seeing every order at a glance
A business that sells customized promotional products was doing almost everything by hand. QuickBooks was only used to prepare estimates and purchase orders (POs).
The information existed, but nobody could see the full picture. There was no visibility into orders, which estimates were still waiting for approval or where each package was.
Answering any of those questions meant digging by hand. The business spent its days reacting to whatever came up.
- A dashboard that pulls in all the QuickBooks information through automatic syncs
- Automatic emails that remind clients to approve their estimate
- A daily email to each salesperson with what’s pending for them that day
- A calendar of incoming orders and arrivals
- Tracking numbers that get added on their own
25% of their time back. Hours that used to go into searching, confirming and chasing.
Clients came out ahead too: an automatic system lets them know where their order is, without anyone having to write to them.
Pending orders and estimates weren’t visible anywhere.
A dashboard synced with QuickBooks shows everything in one place.
Getting a client to approve an estimate depended on someone remembering to email them.
The approval reminder goes out on its own.
Knowing what each salesperson had to do that day meant checking by hand.
Each salesperson gets an email with their pending tasks for the day.
There was no easy way to know where each package was.
Tracking is added automatically, and the client knows where their order is.
Less time chasing clients, more time finding new ones
I worked with a company’s entire sales department. The job had two parts: teach the team to use AI in their work, and automate client follow-up.
Client follow-up took up a big chunk of every rep’s week. It’s necessary work, but repetitive: emails, reminders and keeping track of who still hasn’t replied.
Every hour spent there was one less hour finding new clients.
- Trained the whole department, not just a few people
- Taught them to use AI on the real, everyday tasks of sales
- I showed them how to automate client follow-up
- Everything designed so the team can run it on their own
18% of follow-up time, back.
The reps got back almost a fifth of the time they spent on follow-up. Today they use that time to find new clients.
Follow-up was done by hand, one client at a time.
Client follow-up is automated.
Follow-up time competed with finding new clients.
That recovered 18% now goes into prospecting.
